CEYLON LUXE ESCAPES

Terms and Conditions Effective Date: June 202G

These Terms and Conditions govern all bookings and travel services provided by Ceylon Luxe Escapes. By confirming a booking, the client acknowledges that they have read, understood, and agreed to these Terms and Conditions.

  • Booking Confirmation
  • All bookings are subject to availability at the time of confirmation.
  • A reservation shall be deemed confirmed only upon:
  • Receipt of the required deposit or full payment;
  • Written confirmation issued by Ceylon Luxe Escapes; and
  • Acceptance of these Terms and Conditions.
  • The lead passenger making the booking accepts responsibility for all persons included in the reservation.

  • Payment Terms
  • A deposit of 25% of the total tour cost is required to secure a booking.
  • The remaining balance must be paid no later than fourteen (14) days prior to arrival in Sri Lanka.
  • Bookings made within fourteen (14) days of arrival require full payment at the time of confirmation.
  • Payments may be made via bank transfer, credit card, debit card, or other approved payment methods.
  • Any bank charges, transfer fees, exchange rate differences, or payment gateway charges

    • shall be borne by the client.

  • Package Inclusions

    • Tour inclusions vary according to the selected package and itinerary. Unless otherwise specified, packages may include:

  • Accommodation as stated in the itinerary;
  • Airport transfers;
  • Private transportation with chauffeur guide or driver;
  • Government taxes and service charges;
  • Activities specifically listed in the itinerary;
  • Complimentary Tourist Adventure Insurance where applicable;
  • Customer support throughout the tour.

  • Package Exclusions

    • Unless expressly stated, the following are excluded:

  • International airfare;
  • Visa and passport fees;
  • Travel documentation costs;
  • Optional tours and excursions;
  • Personal expenses;
  • Laundry services;
  • Telephone and internet charges;
  • Meals and beverages not specified in the itinerary;
  • Gratuities and tips;
  • Expenses arising from unforeseen circumstances.

  • Complimentary Tourist Adventure Insurance

    • As part of its commitment to guest safety, Ceylon Luxe Escapes may provide complimentary Tourist Adventure Insurance through an approved insurance provider in Sri Lanka.

    The insurance may include coverage for:

  • Accidental injury;
  • Hospitalization expenses;
  • Emergency medical evacuation within Sri Lanka;
  • Adventure tourism activities covered by the insurer;
  • Personal accident benefits up to the applicable policy limits;
  • Travel-related accidents occurring during the insured period.

    • Insurance coverage is subject to the terms, conditions, limitations, exclusions, and approval of the insurance provider.

    Insurance Exclusions

    The insurance policy may exclude, but is not limited to:

  • Pre-existing medical conditions;
  • Alcohol or drug-related incidents;
  • Self-inflicted injuries;
  • Illegal or criminal activities;
  • Professional sports competitions;
  • Activities excluded under the insurance policy.

    • Ceylon Luxe Escapes acts solely as a facilitator and shall not be responsible for claim approvals, claim rejections, or compensation decisions made by the insurance provider.

    G. Cancellation Policy

    More Than 30 Days Prior to Arrival

    Payments received will be refunded less an administrative fee of USD 50 per booking. 21–30 Days Prior to Arrival

    25% of the total booking value will be retained as a cancellation fee. 14–20 Days Prior to Arrival

    50% of the total booking value will be retained as a cancellation fee.

    7–13 Days Prior to Arrival

    75% of the total booking value will be retained as a cancellation fee. Less Than 7 Days Prior to Arrival

    100% cancellation charge applies. No-Show

    No refund shall be provided.

    Certain hotels, airlines, and special event bookings may be subject to separate cancellation conditions imposed by suppliers.

  • Amendments and Changes by Clients

    • Requests to amend confirmed bookings shall be subject to availability and may incur additional charges.

    Such amendments may include:

  • Travel dates;
  • Accommodation;
  • Transportation;
  • Activities and excursions;
  • Passenger information.

    • Ceylon Luxe Escapes reserves the right to charge reasonable administration fees for amendments.

  • Amendments by Ceylon Luxe Escapes

    • Ceylon Luxe Escapes reserves the right to modify itineraries, accommodation, transportation, or activities where circumstances beyond reasonable control make such changes necessary.

    Reasons may include:

  • Weather conditions;
  • Road closures;
  • Government restrictions;
  • Safety concerns;
  • Operational requirements;
  • Supplier-related issues.

    • Where possible, suitable alternatives of equivalent standard shall be arranged.

    U. Force Majeure

    Ceylon Luxe Escapes shall not be liable for any delay, cancellation, loss, injury, additional expense, or failure to perform obligations resulting from circumstances beyond its reasonable control, including but not limited to:

  • Natural disasters;
  • Floods;
  • Earthquakes;
  • Tsunamis;
  • Pandemics;
  • Political unrest;
  • Civil disturbances;
  • Acts of terrorism;
  • Government actions;
  • Airline disruptions.

    • No compensation shall be payable under such circumstances.

  • Travel Documentation and Health Requirements

    • Clients are solely responsible for ensuring that they possess:

  • A valid passport;
  • Appropriate visas;
  • Required travel permits;
  • Vaccination certificates where applicable;
  • Adequate medical fitness for travel.

    • Ceylon Luxe Escapes shall not be liable for losses arising from incomplete or invalid travel documentation.

  • Accommodation Policy

    • Accommodation shall be provided according to the category and standard specified in the confirmed itinerary.

    Early check-in, late check-out, room upgrades, bedding preferences, and special requests remain subject to availability and cannot be guaranteed.

  • Transportation Policy

    • Clients are expected to comply with all safety requirements during transportation services.

    Ceylon Luxe Escapes reserves the right to refuse transportation or terminate services without refund where a client’s conduct poses a risk to safety, property, staff, or other passengers.

  • Limitation of Liability

    • Ceylon Luxe Escapes acts as an intermediary between clients and independent service providers including hotels, airlines, transportation companies, activity providers, and insurance companies.

    While every effort is made to ensure quality services, Ceylon Luxe Escapes shall not be liable for:

  • Delays or cancellations by third-party providers;
  • Loss, theft, or damage to personal belongings;
  • Personal injury resulting from client negligence;
  • Events beyond its reasonable control;
  • Additional expenses incurred due to unforeseen circumstances.

  • Client Conduct

    • All clients are expected to conduct themselves in a respectful and responsible manner throughout their journey.

    Ceylon Luxe Escapes reserves the right to terminate services without refund where a client engages in:

  • Illegal activities;
  • Harassment;
  • Violence or abusive conduct;
  • Conduct that endangers others;
  • Serious breaches of local laws or regulations.

  • Complaints and Claims

    • Any complaint arising during travel must be reported immediately to a representative of Ceylon Luxe Escapes to allow an opportunity for resolution.

    Formal complaints must be submitted in writing within twenty-eight (28) days following completion of the tour.

    1G. Privacy Policy

    Personal information collected from clients shall be used solely for purposes including:

  • Tour and accommodation reservations;
  • Transportation arrangements;
  • Insurance registration;
  • Customer support;
  • Compliance with legal and regulatory obligations.

    • Ceylon Luxe Escapes shall take reasonable measures to protect personal information and shall not disclose such information to unauthorized third parties.

  • Use of Images and Marketing Materials

    • Unless otherwise requested in writing, Ceylon Luxe Escapes reserves the right to use photographs and videos taken during tours for promotional, marketing, and advertising purposes.

  • Governing Law and Jurisdiction

    • These Terms and Conditions shall be governed and interpreted in accordance with the laws of the Democratic Socialist Republic of Sri Lanka.

    Any dispute arising from or related to these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
